OUR TERMS & CONDITIONS
Effective Date: February 6th, 2026
These Terms & Conditions govern the provision of services by The WaW Studio ("we," "us," "our") to clients ("you," "your"). By booking any service, you agree to these terms in full.
1. SERVICES
1.1 The WaW Studio offers interior design and wellbeing coaching services as described on our website and in our package information.
1.2 Services are provided by Christine Rockell, Founder and Director of The WaW Studio, a trading name of Home naturally Ltd.
1.3 All services are tailored to individual client needs and timelines may vary depending on product availability, client responsiveness, and project scope.
1.4 We reserve the right to refuse service to anyone at our discretion.
2. BOOKING & PAYMENT
2.1 Discovery Call
All new clients must complete a complimentary 30-minute discovery call before booking. This ensures mutual fit and clarifies expectations.
2.2 Deposits
A 50% non-refundable deposit is required to secure your booking for both packages on offer
Your booking is not confirmed until the deposit is received
Deposits are non-refundable once work has commenced (see Cancellations below)
2.3 Final Payment
Clarity Package: Remaining 50% due before report and action roadmap delivery
Transformation Package:
30% due before product procurement begins
20% due upon project completion (before follow-up session)
Product costs invoiced separately (see Section 3) and due prior to ordering
2.4 Payment Methods
We accept bank transfers only. Payment details will be provided in your booking confirmation.
2.5 Payment Plans
The standard payment structure is 50% deposit and 50% at the specified milestone for the Clarity package.
For the Transformation package, a three-tier structure applies (50% initial deposit, followed by a 30% payment due before product procurement begins and a final 20% payment upon project completion but before follow-up session).
Alternative payment arrangements may be discussed on a case-by-case basis but must be agreed in writing before work begins.
Reminder: products costs will be invoiced separately and full payment will be due prior to ordering.
2.6 Pay-in-Full Discount
Clients who pay 100% upfront receive a 5% discount. This must be arranged at the time of booking.
2.7 Late Payments
If final payment is not received by the agreed date, work will be paused until payment is made.
We reserve the right to charge interest at 3% per month on overdue balances.
3. PROJECT TIMELINE
3.1 Estimated Timelines
Creativity Package: 2-3 weeks from booking to roadmap delivery
Transformation Package: 6-8 weeks from booking to installation
3.2 Delays
Timelines are estimates and may be affected by:
Product availability and supplier lead times
Client availability and responsiveness
Unforeseen circumstances beyond our control
We will communicate any delays promptly and work to minimise disruption.
3.3 Client Responsibilities
Timely responses to queries, access to the workspace for audits/installation, and decision-making are required to keep projects on schedule. Delays caused by client unavailability may extend the project timeline.
4. SCOPE OF WORK
4.1 Creativity Package Includes:
Wellbeing assessment (60 to 90 mins)
Workspace audit (60 to 90 mins, in-person or virtual)
Personalised action roadmap
Resource list
30-day email support
4.2 Transformation Package Includes:
Wellbeing assessment (60 to 90 mins)
Workspace audit (60 to 90 mins, in-person or virtual)
Custom mood boards (up to 3 mood boards – up to 2 revisions)
Product research, sourcing
Complete installation
Follow-up session (4-6 weeks post-installation)
90-day ongoing support
4.3 What's NOT Included (unless specifically agreed):
Structural alterations or building work
Electrical or plumbing work (though we can recommend trusted tradespeople)
Products and materials (we source, specify and order on your behalf upon product approval by the client – see Section 5)
Ongoing maintenance or cleaning
Services outside the agreed package scope
4.4 Additional Services
Add-on services or work beyond the agreed scope will be quoted separately and require written approval before proceeding.
5. PRODUCT SOURCING & PURCHASING
5.1 Product Recommendations
We research and recommend products based on your needs, budget, and sustainability criteria. Final purchasing decisions rest with you.
5.2 Transformation Package Sourcing
For Transformation Package clients, we will:
Source and specify all products
Coordinate orders on your behalf
Track deliveries and coordinate installation
5.3 Client Purchases
You are responsible for:
Approving all product selections before purchase
Making payment to The WaW studio for your selected products, prior to us placing orders
Ensuring products are delivered to the correct address
5.4 Product Costs
Product costs are separate from our service fees. We provide budget guidance but cannot guarantee final costs, which depend on supplier pricing, availability, and delivery charges.
5.5 Returns & Defects
We are not responsible for product defects, damages in transit, or returns. These matters must be handled directly between you and the supplier, though we're happy to assist where possible.
6. INTELLECTUAL PROPERTY
6.1 Ownership
All designs, mood boards, reports, roadmaps, and creative concepts remain the intellectual property of The WaW Studio until full payment is received.
6.2 Usage Rights
Upon full payment, you receive a non-exclusive license to use the designs for your personal workspace only. You may not reproduce, sell, or share designs commercially without our written permission.
6.3 Portfolio Use
We reserve the right to photograph completed projects and use images/descriptions for marketing purposes (website, social media, portfolio) unless you request otherwise in writing.
7. CANCELLATIONS & REFUNDS
7.1 Cancellation by Client
More than 7 days before appointment: 50% deposit refundable, minus a £45 administrative fee
Less than 7 days before appointment: 50% deposit retained
After work has commenced: Deposit non-refundable and you will be invoiced for the time we have spent on your project to date
After 50% completion: No refunds on any payments made
7.2 Cancellation by The WaW Studio
If we need to cancel due to unforeseen circumstances, you will receive a full refund of all payments made.
7.3 Rescheduling
You may reschedule appointments with at least 48 hours' notice at no charge. Appointments cancelled or rescheduled with less than 48 hours' notice may incur a £45 rescheduling fee.
7.4 No-Shows
Failure to attend a scheduled appointment without notice will be considered a no-show. The appointment time will be forfeited, and a rescheduling fee of £75 applies.
8. LIABILITY & WARRANTIES
8.1 Professional Standards
We provide services with reasonable skill and care, based on current best practices in interior design, biophilic design, and wellbeing coaching.
8.2 No Medical Advice
While we incorporate health coaching principles, our services do not constitute medical advice, diagnosis, or treatment. You should consult appropriate healthcare professionals for medical concerns.
8.3 Limitation of Liability
Our total liability for any claim arising from our services is limited to the total fees paid by you for those services. We are not liable for:
Indirect, consequential, or special damages
Loss of profits, revenue, or business opportunities
Product defects or supplier issues
Injuries or damages arising from your implementation of recommendations
Decisions made based on our advice
8.4 Product Installation
While we take care during installation, we are not liable for:
Pre-existing damage to walls, floors, or property
Accidental damage to personal belongings (though we carry public liability insurance)
Issues arising from faulty products or incorrect assembly by manufacturers
8.5 Insurance
We maintain professional indemnity and public liability insurance. Details available upon request.
9. CONFIDENTIALITY & DATA PROTECTION
9.1 Client Confidentiality
We treat all client information as confidential and will not share your personal details, health information, or project details with third parties without your consent (except as required by law or to fulfil our services, e.g., with suppliers).
9.2 Data Protection
We comply with UK GDPR and Data Protection Act 2018. We collect and process personal data only as necessary to provide our services. See our Privacy Policy for full details.
9.3 Data Retention
We retain project files and client information for up to 7 years for business and tax purposes, after which they are securely destroyed.
9.4 Your Rights
You have the right to access, correct, or request deletion of your personal data. Contact us at chris@thewawstudio.com to exercise these rights.
10. HEALTH & SAFETY
10.1 Site Access
For in-person audits and installations, you must provide safe access to your workspace. Please inform us of any hazards, pets, or access restrictions in advance.
10.2 Client Responsibility
You are responsible for ensuring that any changes you make to your workspace (whether DIY or professionally installed) comply with:
Building regulations
Rental agreements (if applicable)
Health and safety standards
Fire safety requirements
10.3 Ergonomic Recommendations
While we provide ergonomic guidance, we are not medical professionals. If you have existing injuries or medical conditions, consult an occupational health specialist or physiotherapist.
11. COMPLAINTS & DISPUTES
11.1 Raising Concerns
If you're unhappy with any aspect of our service, please contact us immediately at chris@thewawstudio.com so we can address the issue promptly.
11.2 Resolution Process
We'll work with you in good faith to resolve any complaints within 14 days of receiving them.
11.3 Mediation
If we cannot reach a resolution, both parties agree to attempt mediation before pursuing legal action.
11.4 Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
12. FORCE MAJEURE
We are not liable for delays or failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to:
Natural disasters
Pandemic or public health emergencies
Supplier failures or product shortages
Transportation disruptions
Government restrictions
In such cases, we will notify you as soon as possible and work to minimise disruption.
13. COMMUNICATION
13.1 Primary Contact
All communication will be via email, phone, or video call as agreed. We aim to respond to emails within 2 business days.
13.2 Support Periods
Email support is provided during the periods specified in each package (30 days for Clariity, 90 days for Transformation). Support is limited to queries related to your project and is provided on a reasonable use basis.
13.3 Out of Hours
We operate Monday-Friday, 9.30am-4.30pm GMT. Queries outside these hours will be addressed on the next business day.
14. SUSTAINABILITY COMMITMENT
14.1 Our Values
We prioritise sustainable, natural, and ethically sourced products wherever possible. However, final product choices rest with you.
14.2 No Guarantees
While we make every effort to recommend sustainable options, we cannot guarantee the environmental credentials of third-party suppliers and manufacturers.
15. TESTIMONIALS & REVIEWS
15.1 Feedback
We may request feedback or testimonials after project completion. You're under no obligation to provide these.
15.2 Usage
If you provide a testimonial, you grant us permission to use it (with your first name and location only, unless you specify otherwise) on our website and marketing materials.
16. AMENDMENTS
16.1 Changes to Terms
We reserve the right to update these Terms & Conditions at any time. Changes will be posted on our website with an updated effective date.
16.2 Existing Clients
Changes do not apply retroactively to projects already underway. Your project will be governed by the terms in effect at the time of booking.
16.3 Package Changes
We may update service packages, pricing, or offerings at any time. Existing bookings are honoured at the original terms.
17. ENTIRE AGREEMENT
These Terms & Conditions, together with our Privacy Policy and any written proposal or contract, constitute the entire agreement between you and The WaW Studio. No verbal agreements or representations override these terms unless confirmed in writing.
18. SEVERABILITY
If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
19. ACCEPTANCE
By booking a discovery call, paying a deposit, or engaging our services, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions.
